CHARTER SCHOOLS & VILDA

 

We accept payment for spring and fall Vilda programs (but not summer) from the following charter schools:

If you are with Cal Pacific Charters and want to use charter funds with us, make a request with your teacher that we be added as a vendor (this is the first step to accept funds via Cal Pacific). Please also let us know that you’ve made the request so we can connect with them.

Please read these terms carefully as using charter school funds with Vilda adheres you to these terms.

Terms of use:

1. You are ultimately responsible for your child's tuition with us. If for any reason your charter does not or can not pay us, we will require payment from you.

2. If charter school funds are your chosen form of payment, we must have a purchase order (PO) from them, in our hands, by the first day of the program. 

3. If three months go by from the start of your program month without payment from your charter, we may require payment for that time span from you. If your charter ends up paying for that portion before the end of the session, and you end up with a credit on your account, you can then request a refund.

4. If you are registering late or think that your charter may not be able to send POs in time before your program starts, please contact us to make special arrangements. For such cases, we will need you to cover the initial period of the program yourself. If your charter ends up fully paying for the program and you end up with a credit on your account, you can then request a refund from us.

5. To help ensure that your charter school sends us POs in a timely manner, please notify them that you intend to use your available funds for your Vilda program as early as possible and stress to them that it's critical that we receive POs as soon as possible.

6. It is your responsibility to make sure your charter sends POs for the correct amount.


How to use CHARTER SCHOOL FUNDS with Vilda:

After selecting the program you'd like to enroll your child in:

1. Check with your charter school to make sure they will cover the amount you’d like for your Vilda program. Make sure that they will send us purchase orders (POs) for that amount, as soon as possible.

2. Register your child for their program in our registration service. During registration, make sure you select the correct option for your charter. Paying by charter will add a $10 fee per registration (we require this to help us cover the extra time our staff dedicates to charter schools). Please note - this is added to your program tuition.

3. At checkout, you can either “Pay In Full” or select a payment plan (if available). Even with a payment plan, you will have to pay at least the initial deposit/payment out of pocket to register. If/when your charter makes payments and you have a credit on your account, you can request a reimbursement from us for anything you had initially paid out of pocket that was then covered by your charter.

4. If you selected a payment plan, email us and let us know that your charter will be paying X amount and to adjust your payment plan. We can then put a stop to any future planned payments to your credit card that will be covered by your charter. Please note - if you select a payment plan and do not let us know, the payment plan will continue to bill your card.

CANCELATION / REFUND POLICY

This policy is just for School Year Programs paid by charter school funds. To view all of our cancelation policies, click HERE.

To cancel, we require one month’s notice, or if you want to cancel immediately, we will require a cancelation fee equivalent to one month’s tuition. Please contact us first if you wish to cancel (before notifying your charter).


FREQUENTLY ASKED QUESTIONS:

I’m confused by this whole charter school PO biz. How does it work?
Once you request funds from your charter for a particular program, they will send us purchase orders (POs). Usually these POs are broken up by month - meaning they usually send us a PO for each month of your program. Once we receive a PO from your charter, we then have to wait until the month is complete before we can invoice them for the PO. So if a PO is for January, we have to wait until February 1st before we can invoice for it. The charter then has 30 days to pay said invoice. Once we receive payments from your charter, we will apply the payment to your account with us and email you a payment receipt.

I requested a purchase order a long time ago and it still hasn’t arrived. What’s going on?:
Sometimes charter schools get behind in issuing POs, but also every now and then a PO request gets lost in the pipeline. If you’re getting worried, try reaching out to your charter school teacher/education specialist. If they say everything looks right on their end, let us know and we can check in on our end.

My PO arrived a long time ago, why haven’t any payments been applied to my account?
Many charter schools issues POs by month and only allow us to invoice for them after the month is complete. They then have 30 days to send payment. In such cases, this means that we cannot invoice for January until February. So a payment for January, in some cases, won’t arrive until late February or early March. If you’re concerned about a payment, feel free to check in with us.

I still have a balance due from a program my charter school is paying for and I want to register for another program.
Due to how long it can take to receive payments from charter schools, sometimes families will still have a balance due on their account when it’s time to register for the next semester or for another program. If this is the case, just contact us and assuming payment is expected from the charter, we can help you register.
